Refunds, cancellations & payment disputes

Written to be fair and easy to act on, with no hidden conditions.

1. Scope of this policy

This policy applies to fees invoiced by Meeting Registration Support Limited for our own professional administrative services. We do not invoice for third-party goods or services and we do not hold funds for anyone else, so this policy concerns our fees only.

2. Cancelling as a client

  • Before work begins: you may cancel at any time before we start work. Any fee already paid is refunded in full.
  • After work begins: you may cancel at any time. We will charge only for the administrative work properly carried out up to the point we receive your cancellation, and refund the balance. We will send you a short statement of what was done.
  • On completion: once the agreed work is finished and delivered, the fee for that work is payable.
  • Retainers: a monthly retainer may be cancelled with the notice period stated in the engagement, and unused pre-paid months are refunded.
  • How to cancel: email us, or telephone and follow up in writing. Cancellation takes effect when we receive it; we will acknowledge it in writing.

3. Consumer cancellation rights

If you are a consumer (an individual acting for purposes outside a business) and you engaged us at a distance, you generally have a statutory 14-day cancellation period under UK consumer law. If you ask us to begin work during that period, you may still cancel, but we may charge for the work already carried out. Nothing in this policy limits your statutory rights.

4. If we cancel

We may decline or end an engagement — for example if the request falls outside our administrative remit, if we cannot obtain the information we need, or if we are asked to do something we consider improper. If we cancel, you pay only for work properly carried out before cancellation, and anything else already paid is refunded in full. We will explain our reason in writing.

5. Refunds and how they are paid

  • Refunds are made to the original payment method wherever possible.
  • We aim to authorise refunds within 5 working days of agreeing them, and in all cases within 14 days.
  • The time for funds to appear depends on your bank or card issuer.
  • We do not charge an administration fee for issuing a refund.
  • If you were charged more than the fee you agreed in writing, the difference is refunded in full.

6. Payment disputes and chargebacks

If you believe an invoice or a charge is wrong:

  1. Contact us with the invoice number and a short description of the problem.
  2. We acknowledge within 2 working days and aim to respond substantively within 10 working days.
  3. We review the agreed scope, our records of the work and the invoice, and either explain the charge, correct and reissue the invoice, or refund the amount concerned.
  4. We will not pursue collection of a disputed amount while we are actively investigating it in good faith.

You keep your right to raise a dispute or chargeback with your bank or card issuer at any time, and we will cooperate fully with any such process by providing our records. Contacting us first is a request, not a condition.

7. Complaints and escalation

Complaints of any kind may be sent to info@meetingregistrationsupport.com or by post to our registered office at 2nd Floor College House, 17 King Edwards Road, London, HA4 7AE, United Kingdom. We will acknowledge within 2 working days and give a written response, including what we will do to put things right, within 15 working days. If you remain dissatisfied you may pursue any other remedy available to you, including through the courts of England and Wales.

We are not a member of an alternative dispute resolution or trade body scheme, so complaints are handled directly by us under the process above. That does not affect any statutory right or remedy available to you.
